Enabling Employee Communications with SharePoint

The Challenge

The Human Resources team at Schweppe’s Australia faced limitations in how policies, procedures, and internal communications were distributed across the organization. Information updates were difficult to manage consistently, visibility into what employees could access was limited, and there was no clear mechanism to ensure that sensitive HR content was only available to the appropriate audiences.

In addition, the lack of a centralized and authoritative HR platform made it harder to communicate updates, reinforce trust in official information, and gather feedback from employees in a structured way.

The Approach

A dedicated HR portal was designed and implemented using SharePoint Online as the core platform. The solution enabled the HR team to publish policies, procedures, and HR-related documentation with full control over visibility and permissions, ensuring users could only access information relevant to them.

The portal was styled in accordance with Schweppe’s Australia corporate branding guidelines, reinforcing credibility and making it immediately clear that the platform was an official and trusted source of information. SharePoint publishing workflows were configured to support structured review and approval processes, allowing HR content to be validated before publication. Notifications and highlights were surfaced directly on the landing page to ensure employees were aware of important updates.

The Outcome

The HR team gained a centralized, secure, and reliable platform to manage and distribute internal information. Employees now have clear access to accurate and approved HR content, while sensitive information remains protected through role-based access controls. The branded portal increased trust and adoption, and publishing workflows simplified content governance and updates.

Overall, the solution improved internal communication, strengthened information control, and provided Schweppe’s Australia with a scalable HR platform aligned with both operational and governance requirements.
