Enhancing Operational Efficiency Through Workflow Automation

The Challenge

M&T Bank had already adopted SharePoint as a core collaboration platform and recognized its potential to support business processes beyond document sharing. However, many internal workflows still relied on paper-based forms, email-driven approvals, and manual handoffs. These processes limited efficiency, reduced visibility into request status, and increased the risk of delays or inconsistencies, particularly for operational and finance-related activities.

The organization sought to further leverage SharePoint to digitize and standardize key internal processes while maintaining strict security, auditability, and control requirements expected in a regulated financial environment.

The Approach

The engagement focused on extending SharePoint into a structured process automation platform. A series of form-based solutions were designed and implemented using a combination of InfoPath forms, SharePoint lists, and workflow automation.

These solutions supported a range of business scenarios, including time-off requests, invoice processing, and delegation of invoice approval authority. Each process was built on secured SharePoint lists to ensure appropriate access controls, traceability, and data integrity. Workflows automated routing, approvals, notifications, and status updates, replacing manual steps and reducing reliance on email or paper-based handling.

The solutions were designed to integrate seamlessly into M&T Bank’s existing SharePoint environment, ensuring consistency with established collaboration patterns and governance standards.

The Outcome

The implementation eliminated multiple paper-based and manual processes, significantly reducing processing time and operational friction. Employees gained a clear, standardized way to submit and track requests, while approvers benefited from improved visibility and faster turnaround.

By extending SharePoint into a process automation platform, M&T Bank improved efficiency, strengthened process control, and created a scalable foundation for expanding workflow-driven solutions across additional business functions.
