Reducing Payroll Costs with Custom Processing Solution

The Challenge

Sodexo needed a secure and scalable way to distribute pay stub information to more than 100,000 employees nationwide. At the time, payroll services relied on printing and delivering paper pay stubs via next-day courier, resulting in high operational costs, significant paper consumption, and limited accessibility for employees. The process was slow, expensive, and environmentally inefficient, with no centralized digital access to historical payroll information.

The organization required a solution that could handle large volumes of sensitive payroll data, ensure strict security and privacy, and integrate reliably with existing payroll systems and internal IT processes.


The Approach

Working closely with Sodexo’s internal IT team, an electronic pay stub distribution solution was designed and implemented. Payroll data was securely exported to a controlled environment, where an automated nightly batch process generated individual PDF pay stubs for each employee.

The solution automatically created a dedicated, secure folder for every employee, applied appropriate access controls, and stored both current and historical pay stubs. This approach ensured that each employee could only access their own information while maintaining compliance with security and data protection requirements. The fully automated process eliminated manual handling and significantly reduced operational overhead.


The Outcome

The new solution transformed payroll distribution at Sodexo. Employees gained fast, secure access to their current and historical pay stubs through a digital platform, improving transparency and convenience. At the same time, Sodexo dramatically reduced printing, courier, and administrative costs, while also minimizing paper usage.

The implementation delivered a reliable, scalable, and cost-effective payroll distribution model, replacing a manual, paper-based process with a secure digital solution capable of supporting Sodexo’s large and distributed workforce.
