The Challenge
SOLMAX set out to modernize its collaboration and document management environment by moving away from a legacy SharePoint On-Premises platform. The existing solution had grown organically over time, resulting in dispersed content, inconsistent permissions, and limited governance. This made day-to-day collaboration less efficient and constrained the organization’s ability to scale, support remote work, and adopt modern Microsoft 365 capabilities.
The challenge was to migrate a large volume of business-critical content without disrupting operations, while at the same time improving structure, usability, and long-term maintainability. A key requirement was to complete the transition without exposing sensitive internal details or creating unnecessary complexity for end users.
The Approach
A structured and methodical approach was used to reduce risk and ensure a smooth transition. The project began with a detailed assessment of existing content to distinguish between active and archival information and to identify potential migration issues in advance. This analysis informed the design of a clear and scalable information architecture in SharePoint Online, aligned with modern collaboration best practices.
The migration was executed in controlled phases, using incremental runs and validation to maintain data integrity and continuity. Content was reorganized into modern SharePoint sites with standardized settings, role-based permissions, and version control enabled by default. At the same time, a refreshed intranet experience was introduced to improve navigation, search, and overall usability, providing users with a clear and intuitive entry point to corporate content.
The Outcome
The project resulted in a successful transition to SharePoint Online, delivering a more secure, accessible, and user-friendly collaboration environment. Operational complexity was reduced, governance was strengthened, and teams gained a platform designed to support efficient collaboration and future growth. SOLMAX is now positioned to fully leverage Microsoft 365 as a modern foundation for information management and teamwork.
